2020 Annual Conference Session Deadlines

Meeting in special called session, the Mississippi Annual Conference Extended Cabinet, acting ad interim on behalf of the Mississippi Annual Conference, passed the following change in deadlines for the postponed 2020 Session of the Mississippi Conference which will be live-streamed from Christ United Methodist Church on Monday, July 27:

The 2020 Pre-conference Journal will be available through the Guidebook App beginning Wednesday, June 10, 2020. It will be uploaded in sections as the most updated information is available. All items will be uploaded no later than June 27, 2020, or 30 days prior to the opening plenary. Any questions, changes, edits or amendments to any and all actions of the annual conference should be electronically submitted to the conference secretary, Rev. Trey Harper, no later than 14 days prior to the opening plenary or July 14, 2020. The bishop, conference secretary, dean of the cabinet, director of connectional ministries and conference chancellor will work with the appropriate committees and staff to address submissions and how best to bring them to the floor of the annual conference session as appropriate for vote.

The deadline to submit audio visual materials--all videos, photos, graphics and power points--for the 2020 Session of the Mississippi Annual Conference is end of business Monday, June 29. Scripts are needed for any power point presentations that will require the production team to switch slides by the June 29 deadline and not after.

Requests to remove items from the consent calendar must be made in writing and electronically submitted to the conference secretary no later than 14 days prior to the opening plenary or July 14, 2020. Each request must be accompanied by the names, contact emails and cell phone numbers of 10 members of the annual conference for verification.

Amendments to the standing rules will not be required to lay on the table for 24 hours once presented. The period between release of The 2020 Pre-conference Journal and the deadline for submission for questions, changes, edits or amendments will serve in its place.

In addition, the deadline and governance for submission shall be suspended and replaced with the following:

All resolutions and petitions to be presented to the 2020 Session of the Mississippi Annual Conference must be electronically submitted to the conference secretary no later than June 19, 2020 for publication in The 2020 Pre-conference Journal and referral to the committee on resolutions and petitions. Any amendments shall be governed as stated elsewhere in Rule 28. In recognition of the postponement of both General and Jurisdictional Conferences and the abbreviated nature of this session owing to the COVID 19 pandemic, all resolutions and petitions dealing with matters surrounding the Southeastern Jurisdiction or the General Church will be immediately forwarded to the appropriate body by the conference secretary and will not be given time on the floor of this session of the annual conference.

The conference budget will not be required to lay on the table for 24 hours once presented. In addition, all questions, suggestions, amendments or edits must be electronically submitted to the conference treasurer, David Stotts, no later than 14 days prior to the opening plenary or July 14, 2020 to be considered by the Mississippi Conference Council on Finance and Administration before the budget is adopted.

Amendments to the standing rules must be submitted electronically to the conference secretary no later than 14 days prior to the opening plenary or July 14, 2020 for consideration by the standing rules committee and then presentation as appropriate to the session.

The Mississippi Conference Ordering of Ministry Service—previously scheduled for October—will be on July 28, 2020 at 7:00 p.m. at Christ United Methodist Church. We will be practicing safety and social distancing protocols. Masks will be strongly encouraged. The families and friends of those being ordained, accepted and commissioned will receive priority seating. Bishop Swanson and board of ordained ministry are requesting that all clergy make every effort to attend this special service and welcome our brothers and sisters into their new relationship in our connection. Clergy are invited to wear robes and red stoles (as appropriate) and will participate in the procession of the clergy at the opening of the service. Clergy will gather beginning at 6:30 p.m. and will be instructed where to line up when they arrive. The service will also be live-streamed for the viewing of the faithful Methodist across the connection.
